At the time of booking please advise names exactly as per passports. Also please advise of any medical or dietary requirements, bedding and any specific needs required.

PAYMENT OF THE DEPOSIT

The payment of a deposit constitutes consent to the Terms and Conditions contained in the Company's brochures and travel documents. The deposit paid is not refundable.

Please be aware that credit card payments are subject to bank fees.

The final payment date is usually eight weeks before departure. If the booking is made within 60 days of departure, then full payment will be required within 7 days of confirmation.

Please note all airfares and taxes are subject to change unless ticketed. Therefore the confirmed price may be subject to change until paid in full due to major currency fluctuations, increases etc.

CHANGES TO TRAVEL ARRANGEMENTS

The clients may alter travel arrangements only by giving a written instruction to SOASC. Each change will be charged at $100 plus any charges by hotel/airline or supplier.

The clients acknowledge and agree that route or itinerary changes may become necessary due to circumstances beyond our control. SOASC may have to alter the travel arrangements up to and including and throughout the travel period. The clients agree that no claim for compensation can or will be made against SOASC if such a change has to be made, as long as the change is made on the basis of reasonable justification and that alternative arrangements are put in place by SOASC that are of the same quality as those set out in the travel arrangements.

CANCELLATION CHARGES

The travel arrangements can be cancelled by the client but only by providing written advice of the client’s intention to do so. For cancellations more than 60 days prior to departure the client will forfeit the deposit paid. Cancellations made within 60 days of departure will result in the trip being fully non-refundable. 

REFUNDS FOR UNUSED PORTION OF TRAVEL ARRANGEMENTS

The clients acknowledge and agree that the travel arrangements are a package and that the client cannot choose to select portion of the travel arrangement and be refunded in whole or in part for those portions unused.

TRAVEL INSURANCE

Travel Insurance is compulsory to protect you against loss of deposit or payment, cancellation fees, illness, injury or death, baggage or personal items loss, delays, strikes, war or default by any suppliers or principals. The clients acknowledge and agree that where the clients request SOASC to book travel insurance, that the clients have undertaken a due diligence of the company providing such insurance and has satisfied himself, herself, themselves or itself that the travel insurance is adequate to insure the risks of the client. The clients acknowledge and agree that DFAT travel warnings may void travel insurance, and that it is the responsibility of the clients to monitor warnings.

PASSPORTS & VISAS

Passport, visa and vaccination requirements are the responsibility of the passenger. The clients agree and acknowledge that it is the clients’ obligation, at all times, prior to, at the time of and throughout the travel arrangements for the clients to hold the appropriate passport and visas in order to be able to undertake and complete the travel arrangements. The clients acknowledge and agree that whilst SOASC may assist in the obtaining of the necessary visas to assist the client in being able to undertake the travel arrangements, that the rules and regulations in relation to the issue of the visas, particularly in the countries to be visited by the client during the travel arrangements, can change without notice.

FORCE MAJEURE

SOASC and Rose Bay Travel cannot be held responsible or liable by clients for changes to travel arrangements as a result of any matter outside of our control, including inclement weather, civil unrest, Acts of God and so on.

WHAT IS INCLUDED IN THE TRAVEL ARRANGEMENTS

The following are included in the travel arrangements:

All accommodation, travel, entry fees, meals specified, airport charges and taxes and tour escort if applicable.

Gratuities and excess baggage charges are not included.

Visa, passport and vaccination charges will be extra.

Travel insurance is not included. Any meals, transport costs, accommodation costs or other expenses that are not mentioned in the itinerary.

Any additional expenses caused by delay, accidents or disruption to planned itineraries

All prices are quoted per person twin share and flights are based on economy class. Please enquire as to cost of single room supplements. Most of our journeys have a minimum number requirement (usually 8 persons.)

HEALTH AND FITNESS OF THE CLIENTS

A good level of health and fitness is required to participate in one of our journeys. You should familiarise yourself with health and visa requirements for all countries you are visiting.

RESPONSIBILITY

SOASC and Rose Bay Travel acts only in the capacity of booking agents for the client in all matters of transportation, accommodation and all other services and shall not be responsible directly or indirectly, for property loss or damages resulting from illness, personal injuries or death which may be sustained during any tour.
